Ann tells us about her experience as a
duties co-ordinator, liaising with event organisers about St John
Ambulance's services at their event.
The role
'The duties co-ordinator is responsible for arranging the first
aid cover for events in their local area.
When an event goes well, it is satisfying to know that I have played a part in its smooth running.

'Event organisers
contact me. I discuss their requirements and make sure a booking
form is sent to them. I use the information given on the form to
work out what resources are needed to cover the event: I work out
the skills mix needed for the event - does it need an ambulance, a
couple of first aiders, a static first aid unit? What facilities is
the organiser providing? This can involve meetings with the
organiser and a site visit.
'I also complete a risk assessment,
to ensure the safety of our volunteers attending the
event. The safety and welfare of our volunteers is essential.
Our office staff will then prepare a quotation for the
organiser.
'I contact members of my local unit to get
volunteers to cover the event. For larger events, I can call upon
the help of volunteers from all over Oxfordshire. I'll prepare
briefing notes for the volunteers, to ensure everyone has all the
information they need. Once the event is over, I ensure that all
the necessary paperwork is completed and sent to the office
for processing.
